Booking Terms
These general booking terms outline the main stages and responsibilities commonly relevant to travel arrangements. The customer must also read the package-specific booking document and any supplier conditions provided before payment.
Quotation and Availability
A quotation is based on the information available when it is issued and may be time limited. Airfares, room availability, visas, ground arrangements and other supplier services can change until the booking is confirmed.
Booking Confirmation
A booking is confirmed only when AFA Travel has accepted the booking, received the required payment and issued confirmation. An enquiry, provisional discussion or form submission is not a confirmed booking.
Names and Traveller Information
Names, dates of birth, passport details and other traveller information must be accurate and match the relevant documents. Corrections after confirmation may be subject to supplier restrictions, new fares or charges.
Payments
The deposit, balance, payment dates, accepted methods and any non-refundable elements should be stated before payment is requested. Missing a payment deadline may affect the booking or supplier reservation.
Changes Requested by the Customer
A requested change is subject to availability and the conditions of the relevant airline, hotel, operator or supplier. The customer should ask for the cost and effect of a change before agreeing to it.
Cancellations
Cancellation terms, charges and any supplier deductions depend on the confirmed booking and timing. A cancellation request should be made in writing by the lead customer and is not complete until acknowledged.
Changes by a Supplier or Organiser
Travel services may occasionally change for operational, safety, regulatory or supplier reasons. AFA Travel should explain a significant change and the options available under the confirmed terms and applicable law.
Passports, Visas and Health Requirements
Each traveller is responsible for holding valid documents and meeting the entry, health and vaccination rules applying to the journey. Guidance may be provided, but the final requirements should be checked before travel.
Insurance and Personal Belongings
Travellers should consider appropriate travel insurance as soon as a booking is made and check that it covers their health, activities, cancellation risks and belongings. Personal belongings remain the traveller’s responsibility unless the applicable law says otherwise.
Complaints and Assistance
A problem during travel should be reported promptly to the relevant representative or supplier so that there is an opportunity to assist. A complaint after travel should include the booking reference and supporting information.
Legal Review
